New Updates to Resource Management! 

We've improved Flybook's resource management capabilities for activities by adding additional features, improving the guest booking experience, and overhauling the resource setup screen and operational views. Read below for important information on the changes.

We have migrated your old resource assignments and settings to the new functionality, but you may want to make updates and improvements now that the new functionality is available. 

What are the updates?

Since the release on May 15th, you will see transformative updates, including enhanced resource management tools, a streamlined guest booking process, and an intuitive new configuration interface for setting up activities:

The Enhanced Resource Management Capabilities:

  • Ability to add as many resource dependencies to an activity as needed.
    • Each assigned resource type can have independent settings and controls.
      • e.g., some resources may need to be pulled in automatically to control availability, while others can only be added manually for logistical/reporting purposes.
  • Ability to assign pricing to resource types.
    • Activity pricing can now be determined (fully or in part) by resource usage/selection.
  • Enhanced connectivity between reservations and resource selections. 
    • Easily see booked resources for specific reservations and effectively manage guest and resource counts.
  • Introduction of “optional” resource allocations.
    • This allows for resource management outside of availability controls. It can be used for things like simplified upsell/upgrade options or tracking resources that are only used for logistical/reporting purposes.

Improved Guest Booking Experience:

  • When the option for guests to select resources is enabled, they now have the freedom to explore and choose from a variety of resource types or options to meet the equipment needs of their activity.
  • We've introduced a streamlined selection interface, allowing guests to effortlessly browse various options, visualize with photos, understand pricing, and select the quantity desired from each option — eliminating the hassle of picking out each item individually.

Simplified Resource Setup:

  • No more confusing checkboxes; resource settings can be applied and managed via two specific distinctions:
    • Is the resource type required for the trip to be available?
      • If yes:
        • Do you allow your guests to select their equipment, or are resources automatically assigned?
      • If no:
        • Do you still want your guests to be able to choose to optionally add-on resources when booking? (upsells/upgrades/etc)
        • Do you want the ability to assign resources to the activity manually for tracking purposes?

What to Know Before May 15th.

Existing resource assignments and settings will automatically be mapped to the new format.

  • Please review your activity resource settings after the update to familiarize yourself with the new functionality.
  • How these will be mapped:
Current Setting(s) New Resource Settings Notes
“Share Resources Between Reservations” The feature toggle still exists for both “required” and “optional” resource assignment options and will be enabled if it is currently being used. If customers can select their resources, they cannot be shared between different reservations.
“Front End: Allow Guests to Select Resources” The resource type will be “Required,” and “Customer may select” will be enabled. Users can now edit/improve the resource selections available to the customer. Watch the videos below for more information.
“Front End: Auto Add Resources to Existing Activities” Feature toggle still exists and will be enabled for “required” resources automatically added to reservations. Not available if customers are allowed to select their resources during booking.
"Back End: Auto Add Resources to Existing Activities” The feature toggle still exists and will be enabled if it is currently being utilized.  
“Allow Resources to be Added After Reservation is Made” Resources will be “required” and automatically added to reservations. It can still always be manually added later as well. If resources do not need to affect availability and are only ever manually assigned to activities, users may want to change resource settings to “optional” + “manual.”

 

Although this update does not require action, you might consider revising your current setup to leverage the exciting new capabilities and enhancements fully.

Here’s how to do that:
      • Simply removing resource assignments and re-adding under the new format (explains the different setting options):
      • Allow clients to select between multiple resource types:
      • Make resources optional (if/when they do not impact activity availability):

          • **NOTE** If resource assignments are always made manually for your activities and your resources do not affect availability, you will likely want to update your resource settings to the new option for "Optional" + "Manual" by following the steps outlined in the video 
Depending on your resource settings, you may also notice some small display changes for how resource selection looks when manually entering an activity reservation in the back office:
